Terms & Condition

    1. GPWT Club would not be responsible, in any circumstances, for any loss, damages, etc. that may be incurred/ suffered by you if the information provided by you in the Online Booking Form turns out to be inaccurate/ incorrect.
    2. Balance payments towards the cost of the GPWT Club Trip and Registration Form must reach us at least 25 days prior to the departure OR by the specific date conveyed (if any) as the last day for receiving the payment for your tour. If you fail to do so, it would be construed that you are not interested in the tour. In this case, you would lose your seat on the trip and regular cancellation charges as per the policy would apply.
    3. On payment of the balance amount in full, you will receive your confirmation with the final itinerary. This confirmation will be valid for your travel on the tour. Your Final documents will be issued, upon receiving your balance payment and completion of the online booking. It may be noted that the aforesaid payment does not include the cost of porterage, tips, insurance, laundry, phone calls, food, and beverages, or anything not specified in the itinerary of the tour. Your final GPWT Club confirmation entitles you to travel on the Tour.
    4. Once a tour has been booked, should you wish to change your option from one GPWT Club tour to another, we will do our best to meet your wishes. (Refer to Cancellation Policy > Transfer your Trip).
    5. If due to any reason, the visa is not granted by the respective Consular’s office/Embassy of the country, OR there is a delay in visa processing, GPWT Club will not be responsible. Whatever can be possibly recovered from the package cost, if any shall be refunded.
    6. GPWT Club reserves the right to cancel any Tour prior to the departure, without assigning any reason. In such a situation we will organize the Tour on a different date and make your bookings for the same if the alternate Tour date is acceptable to you. In case the alternate tour date is not acceptable to you, we will refund the amount due and payable to you, after deducting the taxes and cancellation fee however, you will not be entitled to claim any compensation. GPWT Club cannot take responsibility for any cost or any fees relating to the issuance and/or cancellation of air tickets or other arrangements not done through GPWT Club. (Also see Cancellation Policy > Additional Points for trip rescheduling out of our control)
    7. GPWT Club further reserves the right to rearrange the itinerary and change the hotel, provided, the hotel is of the same category as specified at the time of booking of the Tour and the itinerary delivers what was originally promised. GPWT Club further undertakes to provide all facilities and/ or inclusions committed to you at the time of booking of the Tour.
    8. Refunds (if any) for amendments and/ or cancellations will be paid directly to you by GPWT Club. It would take at least 30 days to process refunds.
    9. GPWT Club would not be held responsible for the occurrence of any of the following circumstances during or before the commencement of the Tour and any extra costs occurring due to these are to be borne by you:
        1. Any acts of God, like a heatwave, heavy rain, floods, landslide, earthquakes, extreme bad weather, Pandemic, etc.
        2. Any delay or cancellation of flights, ferry, trains, bus, etc.
        3. Medical problem, sickness, physical inability to manage with the itinerary, or any other such matter. Such an inability shall not affect/ delay the rest of the group on the Tour.
        4. Lost luggage, loss of personal belongings, and/ or theft, etc.
        5. In case of a fluctuation of more than Rs 2 (up or down) per USD or EUR, depending on the base price of the itinerary, the client will have to bear the additional cost OR the client will be refunded the foreign exchange gain, as the case may be
        6. Incorrect visas or tickets done by the client OR failure by the client to purchase the same, if they have opted to organize these on their own
    10. The Booking Conditions shall be governed by and construed in accordance with the laws of India. Any litigation arising under or concerning these Booking Conditions shall be subject to the jurisdiction of the courts of Delhi.
    11. If you are over 70 and wish to travel with us, you need to be accompanied by a family member or friend, and we would love to have you with us on board.

Itinerary Amendments
Routings and services covered in your package are subject to change based on local / weather conditions, airway schedules, and other several aspects. Should this transpire, we can provide suitable options of similar value, however depending on its availability. At most, we announce changes in the itinerary, if any, before departure. Please note that GPWTC reserves the complete right to implement minor amendments in the itinerary at any time without reimbursement. Further, no reimbursement can be done in the event of a major, such as a flood or earthquake.

Hotel Accommodation & Check-in – Check-out Policy
If we are not able to trace your accommodation in your preferred hotel, all efforts will be undertaken to provide you with a suitable alternative of a similar budget and standard. Speaking of check-in / check-out policy, it largely depends on the hotel that you´ve chosen. GPWTC cannot be held responsible for any early or late check-in and check-out requests which are not adhered to by the hotel due to their busy schedule.

Unless otherwise mentioned, prices quoted on our website are charged on a per person basis and do not include tips given to tour guides or drivers, passport/visa fee, travel insurance, drinks or food, accommodation, room services, and laundry. The published rates may change without prior notice, particularly in case of any unforeseen circumstance, such as the increase in airline tickets, hotel rates, or transport expenses

Confirmation of Payment
Once the payment is done, our travel consultants will send you a confirmation slip by e-mail. Its print can be produced as evidence of payment to the service provider to redeem your tour package. But make sure that you´ve provided correct information pertaining to your travel requirements at the time of booking. 

Cancellation Procedures
Prior to making a cancellation, we recommend you carefully read the cancellation rules that apply to your tour package. For cancellation of all or any part of your reservation, make sure that you make a notification of cancellation to GPWTC. Upon receiving your cancellation request, we´ll let you know through e-mail, fax, or telephone regarding the confirmation of booking cancellation as well as the fee that should be paid. GPWTC cannot be held responsible for any cancellation that has not been received from you or not confirmed by us.



Note: For certain special trips, the cancellation policy can have some modifications. Please check while booking (Example: Cruises will often have different policies. Please check with your GPWTC buddy while booking)

The booking of the trip is subject to certain terms and conditions.

COVID-19 Situation

The tourism world is the biggest victim of the Covid 19 pandemic that has gripped the entire world. As you know, in order to deliver what we promise, payments are made to airlines and ground handlers within India and overseas, months in advance. We are presently working from home just like everybody from the tourism sector. Nobody is in a position to refund us the payments we have made on your behalf. Instead, they have given us the liberty to shift the trip and utilize the advances and deposits against future trips. Under these circumstances, we are in no position to refund you like we usually do. We urge you to have patience and shift to the next date or any other of our future trips without any penalty.

No Show

If you fail to turn up for the tour, no refunds in part or full can be provided. The same condition applies in the case of unused tickets, sightseeing tours, car-rental or chauffeur-driven services. Likewise, rescheduling cannot be allowed for confirmed tours, transfers to and from airports, and other travel-related services.

Changed your mind soon after booking?

We want you to be fully comfortable with your booking. This is why we offer the below policy:

  • After making payment for any trip, in the event that you change your mind within 28 hours, you will get the full refund except for Rs. 1000 towards administrative charges. This is provided that at the time when you intimate us of cancellation, there are at least 15 days before departure for domestic and 30 days before departure for an international trip
  • Refunds given under this scheme, are subject to the ‘Additional Points’ as stated below

The cancellation schedule is detailed below:

  • Cancellation after confirmation with payment anytime before 30 days of the commencement of the tour: 25% of the value of the undiscounted tour cost will be deducted and the rest refunded.
  • Cancelling the tour 30 to 20 days before commencement of the tour: 50% of the value of the undiscounted tour cost will be deducted and the rest refunded.
  • Cancelling 19-10 days before commencing the tour: 75% of the undiscounted tour cost will be deducted and the rest refunded.
  • Cancelling 9 days or lesser before the tour date: No refund for the tour.

For Tour and Packages

We reserve the complete right to reschedule an itinerary or route, adjust pricing, or even cancel a tour whenever, at our sole discretion, mainly if we deem it is vital for your safety or convenience.

Unused inclusion in a tour package is non-refundable.
Any guest failing to reach on time at the designated pick-up point will be considered a no-show. No reimbursement or alternative transfer will be arranged in such circumstances.

Should a tour booking be cancelled or altered for reasons of bad weather, vehicle issue or traffic problems, we will make all sincere efforts to arrange alternative service with similar options, however, based on its availability.

The arrangement of seating will depend on its availability and will be done by our driver or tour guides.
Pick-up and drop-off timings listed on the website are approximate, and they will be adjusted as per your location as well as traffic conditions.

Coupon Codes (If any) can be redeemed only through the online booking process.
We reserve the right to charge 100% No Show charges if guests do not turn up on time for the pick-up.
In any case, the guest does not show up on time and our vehicle departs from the pickup location, then we will not arrange for an alternative transfer & no refund is provided for the missed tour.

The seating arrangement is done as per the availability & it is decided by the Driver or Tour Guide except in case of private transfers.

Additional Points:

  • For any flight tickets booked additionally with the trip being cancelled, the cancellation policy of the airline will apply.
  • Amounts paid towards extras like activities or room nights are only returned on a ‘best effort’ basis. GPWT Club is not liable for these amounts
  • Amount paid towards handling charges while paying through the payment gateway (typically about 2.25%), is not returned while making any refunds. For bookings made online, as a goodwill gesture we absorb the processing fees for our travellers. However, we cannot absorb these in case of a cancellation.
  • Refunds (when due) are paid directly into a bank account by GPWT Club and take 30 days to process
  • In case of cancellation, in addition to the trip cancellation policy stated above, losses incurred on cancelling the visa fee, insurance, and flights will be charged on actual, over and above the standard cancellation rate even if these are part of inclusion in the package.
  • In case we are forced to reschedule the trip to a later date due to natural calamities, acts of God, civil unrest, pandemics, war and other events beyond our control, this is NOT treated as a cancellation by GPWTC. In this case, you could choose to shift over to the new date at no cost OR any other trip by paying the applicable transfer charges OR avail of a refund with minimum cancellation charges (lowest slab will apply) and any unrecoverable amount spent on behalf of the traveller will be charged. This includes, but is not limited to, visa fees, airline tickets, insurance and handling charges while paying through a payment gateway (typically 2.25%)

Transfer your trip:

For trips that have more than 30 days to departure, we offer our customers the option to transfer to any of our other trips that are currently accepting bookings in the current financial year. This is subject to the following conditions:

  • Approval of the transfer is based on management discretion and availability of seats
  • The administrative fee for cancellation are Rs 3500
  • This can only be done once per booking
